Voice Mail

Ever wonder how to get people to listen to your messages and take action? Ever find yourself rolling your eyes at a long-winded, rambling voice message, hoping the caller will just get to the point?

Here are a few tips to ensure that your message gets a quick call back.

Construction
Make sure your message includes these elements.

  • Introduce yourself completely and include any phone numbers RIGHT UP FRONT.
  • Identify your message as "for information" or "call to action" early in the voice mail.
  • Indicate the date that a response is needed.
  • Deliver voice mail key messages/action needed concisely; write out prior to the call if necessary.
  • End voice mail with name and telephone number(s) again, talking slowly enough for the recipient to write down the information.

Delivery Techniques
To make your voice mail sound upbeat and enthusiastic, stand up and smile when recording your message. Consider using a headset to free your hands to gesture as you speak, thereby increasing the animation in your voice.

If the voice mail system allows it, review your message before approving it to be sent. Verify that the tone communicates the impressions you wish to leave with the recipient and check to see if you have eliminated those "ums" and "uhs" that distract the listener from your message.
