Diffusing Problem Situations

Your delivery skills are polished, and your content and visual aids are on target. Your presentation is guaranteed to go off without a hitch...right?

Wrong.

While you can control what goes into your presentation, there are many environmental factors that are outside your immediate control. Many meetings contain people who arrive late, don't participate, have side conversations or simply don't want to be there. While you can't prevent them from attending, you can lessen the impact they have on your presentation by utilizing these techniques:

  • The Introvert
    This participant is shy, frustrated or bored. Consider breaking into small groups or giving the participant an assignment to encourage participation.

  • The Prisoner
    This participant simply does not want to be there. Be sure to keep all activities benefits-based and direct his/her particular concerns about the meeting. You might also consider allowing the participant to leave.

  • The Latecomer
    Always begin meetings on time to avoid rewarding this behavior. Try to cover housekeeping items at the beginning of the session so a minimum is missed by latecomers. Also, assign someone to brief latecomers during the break.

  • The Side Conversationalist
    To discourage side conversations, increase the volume of your voice or move closer to the persons involved. You might also consider taking questions or breaking up into small groups.
